Who sees what in the space

What the whole team sees of contacts and work, what only you see, and what nobody outside your space will ever see.

What it is for

Opener is a team tool. Contacts and the work done with them are shared by the whole space, so everyone can see where the team stands with a particular person. Your labels, templates, settings and private contacts stay yours alone.

How to

Relationships with contacts are shared (in the contact detail, the Shared label in the Relationship section). Every member of the space can see:

  • details about the person: name, position, company, LinkedIn, emails and phone numbers,
  • steps, notes, follow-ups, documents and deals, always with the author of the entry,
  • who owns the contact and who is currently processing it,
  • team labels.

You can record a step, a note and your own follow-up on any contact you can see, provided you have write access. Closing a relationship and handing it over for processing is done by the owner or an admin.

  • The same rules apply in search, in AI answers, in exports, in the Chrome side panel and in connected AI apps.
  • A private contact (Private) is a separate card. It is not included in team overviews, campaigns or calling and is not connected to the team contact for the same person.
  • A private contact never gets into a team list. Colleagues do not see it in the list rows or in the count.
  • List progress, an action plan from a list and bulk actions on a list never include colleagues' private contacts. Your own private contacts from a personal list count neither in a plan nor in the progress, and the app tells you how many.
  • Connected AI apps do not receive the emails or phone numbers of contacts.
  • No other space ever sees the data of your space.
  • A member with read-only access sees the same, but cannot record anything.

Frequently asked questions

Can a colleague see my notes?

Yes. Notes, steps and follow-ups on a contact are visible to the whole team, with your name.

Can I add a note to a contact that only I can see?

On a shared contact, the whole team can see the text of a note. Use your labels for your own sorting. If you want to keep a person only for yourself, add them as a private contact.

I see a person in the list without an owner. Why?

The person is in the space, but nobody has an open relationship with them, for example after it was closed. In People & relationships they appear as No owner.
