Tasks
How to assign a task to a colleague or to yourself, where to find tasks, how to discuss them and who can see them.
What it is for
With a task you give a colleague or yourself a specific thing to do with a due date. You discuss the task in its thread and see when it is done.
How to
- Click the Tasks icon on the left of the top bar. The number next to it shows how many tasks are waiting for you.
- In the panel, click New task. To link a task to a person, company or deal, assign it directly in their detail. To create a task from a message, click Turn into a task in Messages.
- Fill in the title, description, assignee and due date, and turn on Important if needed. You can paste a screenshot into the description with ⌘V.
- Click Assign task.
The assignee opens the task on the Assigned to me tab, clicks Start and, when finished, Mark as done. When the brief is not enough, they click Return and write what is missing. The person who assigned the task updates it and sends it again with Update and send again.
Good to know
- A task is visible only to the person who assigned it and the assignee. Workspace admins and other colleagues cannot see it.
- Tasks you assigned to a colleague are on the Assigned by me tab. Returned tasks are at the top.
- The queue shows overdue and important tasks first, then by due date.
- The assignee can hand a task over to another member with Hand over. The handover appears in the task history and the previous assignee no longer sees the task.
- The person who assigned a task can cancel it. Done and cancelled tasks stay in the history.
- You can attach an image or a file up to 10 MB to the task and to messages in the thread.
- All your tasks with filters are in the Tasks section. You can also create a new task there with the + button right next to the page title.
- A task created from a message has the message text filled in, for a personal message the recipient as the assignee, and in its detail the row From a message with the link Open the message. Only people who can see the message see the link.
- The email about a new task from a colleague can be turned off in My settings, tab Reminders, row New task from a colleague. Tasks with a due date are also in the due date reminder and the Monday summary.
- When a member is paused, their tasks go back to the people who assigned them. Tasks they assigned are taken over by the workspace owner.
- A task about a private contact (Private) can only be assigned to yourself and cannot be handed over. It is deleted together with the private contact.
