Lists of people and companies
How to put together a fixed group of people or companies for a specific purpose, such as an event or a campaign, personal or for the whole team.
What it is for
A list is a fixed group of people or companies you put together for a specific purpose: guests of a breakfast event, target companies for the quarter, people to reach out to. Nobody gets added to a list automatically; members come and go only when someone adds or removes them.
How to
Create a list
- Open Lists and click New list.
- Type a name, choose People or Companies and whether the list is Personal or Team.
- The description is optional and shows in the ⓘ of the list.
Add people or companies
- From a selection: in People & relationships or Companies, tick the rows and choose Add to list. In People & relationships you can also select the whole filter result.
- From a detail: in the contact or company detail, in the Lists section, click +, pick a list, or type a new name to create a personal list.
- In the list: in the list detail, click + next to the count and search people or companies by name.
- From the side panel on LinkedIn: on the contact or company card in the side panel, click + Add to list and pick a list, or type a new name. For a profile that is not in Opener yet, choose Take and add to list: you take the contact and add it right away. More in Working in the side panel.
- From filter or view results: see below.
Save the results of a view or filter
- In People & relationships or Companies, set a filter or open a saved view.
- In the ⋯ menu of the toolbar, choose Save results to list…. With a view open, the same option is also in the view menu under This view.
- Choose New list (the name is prefilled with the view name and today's date; the list can be personal or team), or Add to existing.
- Confirm with Save. The whole result is saved, not only the loaded rows.
The list is a snapshot: later changes to the filter or view do not change it, and the view stays as it is. The ⓘ of the list detail tells which view it came from.
List filter
In People & relationships and Companies, below the toolbar there is a List filter. It shows only the members of the chosen list and can be saved in a saved view too, for example "Breakfast 12 Nov · Talking".
Work with a list
- Click a list in the overview. It opens like People & relationships (or Companies) limited to the list members, with filters, sorting and the detail panel.
- The default sort is Custom order. Until someone reorders it, this is the order in which members were added.
- Change the order by dragging a row by the handle at its start. Several ticked rows move together. Alt+↑ and Alt+↓ move the focused row by one place.
- For long moves, tick the rows and choose Move to top, Move to bottom or Move after….
- Remove from list removes a member right away; while the notice is shown, Undo puts it back in its original place.
List progress
For a list of people, the stage icons in the toolbar show how many list members have reached each stage (stage path: whoever is in Messaging has passed the lower stages too). Shared steps of anyone in the team count.
- With the ⓘ icon next to the stages (List progress) you switch between Total and Since added. Since added counts only steps from the day the member was added to the list, so it shows what happened with the people since the event or campaign.
- Clicking a stage icon filters the list as in People & relationships.
Bulk actions
Tick the rows (or the whole filter result) and choose in the selection bar:
- Add label and Set cadence: the same actions as in People & relationships, with the same rules.
- Change owner (admins and the workspace owner only): the relationships of the selected people get a new owner. In Whose relationships you choose the relationships of all owners, or of one member only. Only open shared relationships change. Private contacts are skipped, as is a person with whom the new owner would have two relationships. The result tells you the numbers.
- Add to another list, the moves and Remove from list as above.
Use a list
The Use button in the page bar offers what you can do with the list:
- Start own plan, an admin also Start team plan: opens the start of an action plan with the list preselected.
- For a company list Open in Company coverage (Company coverage for the companies of the list only) and a plan from the people at those companies (Own plan from people at these companies, an admin also Team plan from people at these companies).
- When your personal list contains your private contacts, the menu tells you how many will not be used.
The ⋯ menu of the list has Rename, Edit description, Convert to team list, Save as my copy, Copy link and Delete list.
Good to know
| Action | Personal list | Team list |
|---|---|---|
| who sees it | only you | every member of the workspace |
| who creates it | any member (even read-only) | anyone with write access |
| add, remove and reorder members | you | anyone with write access |
| rename, edit description, delete | you | the list author, admins and owner |
| own copy | you | any member (creates a personal list) |
- Label or list? A label says what a contact is and lasts long. A list is a group for a purpose; delete it when the event is over. A saved view is a filter that always shows the current state.
- Private contacts do not belong in a team list. They are skipped when adding and the app tells you how many. You can add your own private contact to your personal list.
- Convert to team list leaves out your private contacts; the dialog tells you how many beforehand. The personal list goes away.
- A team list has one order for everybody. When a colleague changes it in the meantime, the app quietly reloads the list.
- Dragging works only in custom order without a filter or search, and not on a phone. Use the moves in the selection bar there.
- Deleting a list does not delete any contacts or companies.
- Saving results works for up to 5,000 people or companies at once. With a larger result, narrow the filter.
- A team view cannot have a filter on a personal list, because others do not see it. Save it as a personal view, or convert the list to a team list.
- Limits: 200 personal lists per member, 300 team lists per workspace, 10,000 members in one list, at most 5,000 in one action. The name has up to 80 characters, the description 500.
- The contact detail shows only your personal lists and team lists. Nobody sees someone else's personal list, not even an admin.
- List progress, an action plan from a list and Company coverage work only with shared contacts and shared steps, so the numbers are the same for everyone. You see your private contacts of a personal list in the rows, but they count neither in the progress nor in a plan.
FAQ
Can a colleague see my personal list?
No. Only you see a personal list. To share it, convert it to a team list.
Why was a contact not added to the team list?
It is your private contact. Private contacts do not belong in team lists; you can put it in your personal list.
Does a list saved from a view change when the filter changes?
No. The list is a snapshot of the result at the time of saving. Add later members by hand, or save the results again to the existing list.
Why does the list progress not match the stages in the rows?
A row shows the stage of the relationship you see (usually yours), the progress the highest stage anyone in the team has with the person in a shared relationship. Private contacts do not count in the progress.
What happens to a list when two duplicate contacts are merged?
The kept contact takes over the membership of the merged one. When both were in the list, one stays.
