Boards
How to keep ideas and topics in progress on cards, for yourself or with the whole team, in columns or on a free layout.
What it is for
A board is a space with cards for things that are not a contact, company or task: ideas, topics in progress, suggestions for the team. Only you see a personal board, the whole space sees a team board. You can sort cards into columns (for example Ideas, In progress, Done) or keep them side by side on a free layout.
How to
- Open the Boards section in the left sidebar in the My work group.
- Click New board. Fill in the name, choose Personal or Team and the layout Columns (the columns are pre-filled, you can rename, add or remove them) or Free layout.
- Add a card with the Card button at the top (a dialog with title, text, colour and link), or quickly with the + sign in a column header: type the title and Enter saves the card.
- Click a card to open it in the panel next to the board. You edit the title and text in place, they are saved when you leave the field. You change the colour and the link with a click, they are saved right away.
- Move a card by dragging it with the mouse, within a column or to another column. Select several cards with Shift or ⌘ click and drag them together. With the keyboard, Alt+↑ and Alt+↓ move the focused card within the column, Alt+← and Alt+→ to the neighbouring column.
Good to know
- A card has a title (up to 200 characters), optional text (up to 5,000 characters, links are clickable), one of six colours and at most one link to a contact, company, deal or list. Clicking the link opens the record's detail. The colour is only for your overview, the app does nothing with it.
- On boards in the detail of a contact, company, deal and list shows the cards that link to the record. The + button (To a board) creates a new card linked to this record there: you choose the board and column, the title is pre-filled with the record's name.
- The board's ⋯ menu has Settings (name, description, layout, columns), Card archive, Convert to team board, Save as my own copy, Copy link and Delete board, depending on what you are allowed to do.
- Deleting a column with cards asks where to move the cards. Switching from columns to a free layout merges the cards into one space in column order. Switching from a free layout to columns puts the existing cards into one named column.
- Archiving a card (in the card's ⋯, Archive) can be undone: you find the card in Card archive and Restore returns it to the end of its column. Deleting a card is permanent.
- Converting to a team board works in one direction only. Cards linked to your private contact lose the link, the cards stay; the dialog tells you how many beforehand.
- Your own copy creates your personal board with the same layout and columns, without cards. You can save it from a personal or a team board.
- A private contact can be linked only from a card on your personal board. The app does not allow it on a team board.
- Search (⌘K) finds boards by name and cards by title, only those you can see. Card text is not searched.
- The space export for admins has a Boards sheet with team boards and their cards only. Personal boards are not exported.
- On a phone you see one column and switch between columns at the top. Cards are not dragged there, you move them in the card's ⋯ with Move to….
- Limits: 50 personal boards per member, 100 team boards per space, 12 columns and 500 cards per board (the archive does not count).

Frequently asked questions
Why can a colleague edit my card on a team board?
A team board is a shared space and moving cards between columns is its purpose. That is why everyone with write access can change a card. The card shows who edited it last and when. Only the card's author, the board's author and an admin can delete it, and archiving can be undone.
What happens to my personal boards when I leave the space?
They are deleted with their cards. Team boards stay and admins manage them.
